Junior Executive Assistant


L3 Advanced Programs is seeking a Junior Executive Assistant (EA) in our Burlington, MA location. This position will support a senior executive and will back up the senior EA as necessary.

Due to the nature of our work this position requires a Department of Defense Secret Level Security Clearance.

This position reports to the Vice President of Patriot Works (PW). Applicant should be able to:

  • Provide simultaneous executive level administrative support to the Vice President of PW

  • Handle sensitive and confidential information in an appropriate manner without exception

  • Serve as primary interface with customers, visitors, and employees in a professional manner

  • Create regular reports and update internal databases

  • Independently take care of matters and questions, including answering substantive questions not requiring technical knowledge, but occasionally requiring research and follow up

  • Proactively manage projects/deliverables/due dates – following up with project owners, key stakeholders, and employees as needed to meet assigned due dates successfully

  • Plan, coordinate, and maintain VP of PW daily schedule by planning and scheduling meetings, teleconferences, and frequent, heavy travel arrangements

  • Coordinate logistics for meetings; room reservations, menus, early/late office arrival/departure as required

  • Maintain a high level of competence in the MS Office program suite

  • Demonstrate both the flexibility and adaptability required to meet the dynamic nature of Advanced Programs PW business and the working styles of the senior team

  • Attend meetings and prepare minutes

  • Maintain a professional environment through personal conduct in the Executive area and phone interactions

  • Manage incoming and outgoing telephone calls, mail, and faxes

  • Assist all visitors, as needed

  • Coordinate with other EAs to cover for vacation, sick, etc., and cover the front desk as required

  • Develop & compose correspondence, reports, and presentations as requested

  • Maintain confidential files and records

  • Occasional travel coordination support after hours and on weekends

  • Occasional travel



  • Bachelor’s degree in Business Administration or four years of directly related administrative support experience

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • Excellent interpersonal skills

  • Advanced written and verbal communication skills

  • Proven ability to handle confidential information with discretion

  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint)

  • Top Secret Department of Defense security clearance is highly desirable

  • US Security Clearance Required:Secret
